Fuel Card

A fuel card lets a driver buy diesel without carrying cash, with the transaction billed to the fleet centrally. The value is as much in the data as in the payment: each transaction records the outlet, the litres, the rate, the time and the vehicle, which is a level of detail cash reimbursement never produces.

Controls are configurable — daily and per-transaction limits, permitted outlet networks, allowed fuel grades, and time-of-day restrictions. Those constrain misuse but do not eliminate it, because a card assigned to a vehicle can still be used to fill something else.

The control that actually closes the gap is reconciliation against telematics. Comparing card litres against the tank-level rise, and the outlet location against where the vehicle actually was at that timestamp, exposes the two common frauds: fuel bought but not put in the tank, and transactions at outlets the vehicle never visited.
